At Vylo, we believe your conversations belong to you.

Whether you’re recording a client meeting, attending a lecture, brainstorming ideas, or capturing personal voice notes, your recordings remain your data—not ours.

We only process your recordings to provide the features you choose, such as transcription, AI summaries, meeting notes, action items, and intelligent search.

We do not sell your personal information, and we do not use your recordings to train public AI models without your explicit consent.

This Privacy Policy explains what information we collect, why we collect it, how we protect it, and the choices you have regarding your data.

Vylo is an AI-powered meeting companion developed by WheelsEye Technology India Private Limited, having its registered office at:

5th & 6th Floor, Capital Business Park, Sector 48, Gurugram – 122018, Haryana, India.

Throughout this policy, “Vylo”, “we”, “our”, and “us” refer to WheelsEye Technology India Private Limited.

This Privacy Policy applies to individuals using the Vylo mobile application and compatible Vylo hardware devices for personal or professional productivity.

This includes users who:

• Record meetings
• Import audio files
• Generate AI transcripts
• Create summaries and meeting notes
• Search conversations using AI
• Organize recordings into folders or projects

This Privacy Policy does not apply to organizations using Vylo Business, which is governed by a separate privacy policy.

To provide Vylo’s services, we may collect the following information.

Account information

When you create an account, we may collect:

• Name
• Email address
• Profile picture (optional)
• Sign-in provider (Apple, Google, or Email)
• Subscription status

Providing a phone number is optional unless required for a specific feature.

Audio you choose to record

When you record or upload audio using Vylo, we collect:

• Audio recordings
• Recording timestamps
• Recording duration
• Device information necessary for synchronization

You remain the owner of all recordings stored in your account.

AI generated content

If you choose to use AI features, Vylo generates:

• Transcripts
• Meeting summaries
• Action items
• Speaker identification (where available)
• AI-powered search indexes
• Meeting notes

These outputs are stored securely so you can revisit them later unless you delete them.

Device & technical information

To improve reliability and security, we may collect:

• Device model
• Operating system version
• App version
• Crash reports
• Performance diagnostics
• Push notification token

We do not collect your contacts, messages, photos, or location unless you explicitly grant permission for a feature that requires it.

We use your information only to provide and improve Vylo.

This includes:

• Recording conversations
• Syncing recordings across your devices
• Generating transcripts
• Creating AI summaries
• Organizing conversations
• Providing AI-powered search
• Improving transcription quality
• Responding to customer support requests
• Preventing fraud and abuse
• Maintaining platform security

We do not sell your personal information.

When you request AI features such as transcription, summaries, meeting notes, or AI search:

• Your recording is securely encrypted.
• It is transmitted to trusted AI processing providers.
• The provider generates the requested output.
• The transcript, summary, or other AI-generated content is securely returned to your Vylo account.

Depending on the feature you use, Vylo may work with trusted third-party providers such as OpenAI, Anthropic, Google, Deepgram, or other infrastructure providers.

These providers process your information solely to provide the requested functionality and are contractually required to protect your information.

Your recordings are not used to train public AI models without your explicit consent.

Before AI processing begins, Vylo clearly informs you when your recordings will be processed using AI services.

By choosing to generate transcripts, summaries, or other AI-powered outputs, you consent to the secure processing of your recordings for that purpose.

You may stop using AI features at any time, although certain functionality may no longer be available.

If you record conversations involving other people, you are responsible for complying with applicable laws regarding notice and consent.

Depending on where you are located, you may need to inform participants that the conversation is being recorded.

Vylo provides recording tools but does not determine or control the circumstances under which recordings are made.

Your recordings and AI-generated content are private by default.

Only you can access them unless you choose to:

• Share recordings
• Share transcripts
• Invite collaborators
• Generate shareable links

Vylo employees do not access your recordings unless it is necessary to resolve a support request or comply with legal obligations.

We may share information only with:

• Cloud hosting providers
• AI processing providers
• Authentication providers
• Payment processors
• Customer support platforms
• Government authorities when legally required

We never sell your information to advertisers or data brokers.

You remain the owner of:

• Audio recordings
• Transcripts
• Meeting summaries
• Notes
• Action items
• AI-generated content

You may export or delete your data at any time.

We retain your information only for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

You may delete recordings, transcripts, summaries, or your entire account at any time. Following deletion, your information will be removed from our active systems within a reasonable period, subject to backup retention and legal requirements.

Depending on the features you use, Vylo may request the following permissions:

• Microphone – To record meetings and conversations.
• Bluetooth – To connect with compatible Vylo recording devices.
• Files & Media – To import audio files and export recordings.
• Notifications – To notify you when recordings are uploaded or AI processing is complete.
• Network Access – To securely synchronize recordings and AI-generated content.
• Location (where required by Android for Bluetooth scanning) – Used only to enable Bluetooth functionality and not to determine or track your location.

You can manage these permissions at any time through your device settings.

We use industry-standard safeguards to protect your information, including:

• Encryption in transit
• Encryption at rest where applicable
• Secure authentication
• Access controls
• Continuous monitoring
• Secure cloud infrastructure

Although no system is completely secure, we continuously improve our security practices to protect your data.

Vylo is intended only for users who meet the minimum legal age required to use the Services.

We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time.

If significant changes are made, we will notify you through the app or by other appropriate means before the changes take effect.
