Privacy Policy — Vylo for Individuals

At Vylo, we believe your conversations belong to you.

Whether you’re recording a client meeting, attending a lecture, brainstorming ideas, or capturing personal voice notes, your recordings remain your data—not ours.

We only process your recordings to provide the features you choose, such as transcription, AI summaries, meeting notes, action items, and intelligent search.

We do not sell your personal information, and we never use your recordings to train AI models. Not third-party models, and not our own.

This Privacy Policy explains what information we collect, why we collect it, how we protect it, and the choices you have regarding your data.

Vylo is an AI-powered meeting companion developed by WheelsEye Technology India Private Limited, having its registered office at:

5th & 6th Floor, Capital Business Park, Sector 48, Gurugram – 122018, Haryana, India.

Throughout this policy, “Vylo”, “we”, “our”, and “us” refer to WheelsEye Technology India Private Limited.

This Privacy Policy applies to individuals using the Vylo mobile application and compatible Vylo hardware devices for personal or professional productivity.

This includes users who:

• Record meetings
• Import audio files
• Generate AI transcripts
• Create summaries and meeting notes
• Search conversations using AI
• Organize recordings into folders or projects

This Privacy Policy does not apply to organizations using Vylo Business, which is governed by a separate privacy policy.

To provide Vylo’s services, we may collect the following information.

Account information

When you create an account, we may collect:

• Name
• Email address
• Profile picture (optional)
• Sign-in provider (Apple, Google, or Email)
• Subscription status

Providing a phone number is optional unless required for a specific feature.

Audio you choose to record

When you record or upload audio using Vylo, we collect:

• Audio recordings
• Recording timestamps
• Recording duration
• Device information necessary for synchronization

You remain the owner of all recordings stored in your account.

AI generated content

If you choose to use AI features, Vylo generates:

• Transcripts
• Meeting summaries
• Action items
• Speaker identification (where available)
• AI-powered search indexes
• Meeting notes

These outputs are stored securely so you can revisit them later unless you delete them.

Google Calendar data (only if you connect it)

If you choose to connect your Google Calendar, Vylo requests read-only access to your calendar events (the calendar.events.readonly scope). This lets Vylo read event details such as the event title and start and end times.

Vylo cannot create, edit, or delete your calendar events. Connecting Google Calendar is optional, and Vylo works without it.

Google Contacts data (only if you connect it)

If you choose to connect Google Contacts, Vylo requests read-only access to your saved contacts (the contacts.readonly scope). This lets Vylo read a contact’s name and email address so it can suggest people when you add someone to a recording or an action item, instead of asking you to type a name your phone already knows.

Vylo cannot create, edit, or delete your contacts. Connecting Google Contacts is optional, and Vylo works without it.

Device & technical information

To improve reliability and security, we may collect:

• Device model
• Operating system version
• App version
• Crash reports
• Performance diagnostics
• Push notification token

We do not collect your contacts, messages, photos, or location unless you explicitly grant permission for a feature that requires it.

We use your information only to provide and improve Vylo.

This includes:

• Recording conversations
• Syncing recordings across your devices
• Generating transcripts
• Creating AI summaries
• Organizing conversations
• Providing AI-powered search
• Improving transcription quality
• Responding to customer support requests
• Preventing fraud and abuse
• Maintaining platform security

Where Vylo integrates with third-party services, we use information received from those services only to provide the functionality requested by you. For example, information accessed through Google Calendar may be used to identify scheduled events and initiate recording functionality associated with those events, and information accessed through Google Contacts is used only to suggest names and email addresses when you add a person.

Vylo’s use and transfer of information received from Google APIs, including Google Workspace APIs, will adhere to the Google API Services User Data Policy and the Google Workspace API User Data and Developer Policy, including the Limited Use requirements. The use of raw or derived user data received from Workspace APIs will adhere to the Google User Data Policy, including the Limited Use requirements.

We do not use, transfer, or sell Google user data, whether raw, aggregated, anonymized, or derived, to create, train, or improve foundational or generalized artificial intelligence or machine learning models. This applies to Vylo and to every service provider we work with, regardless of any other consent you may give us.

We do not sell your personal information.

When you request AI features such as transcription, summaries, meeting notes, or AI search:

• Your recording is securely encrypted.
• It is transmitted to trusted AI processing providers.
• The provider generates the requested output.
• The transcript, summary, or other AI-generated content is securely returned to your Vylo account.

Depending on the feature you use, Vylo may work with trusted third-party providers such as OpenAI, Anthropic, Google, Deepgram, or other infrastructure providers.

These providers process your information solely to provide the requested functionality and are contractually required to protect your information.

Your recordings are never used to train AI models, ours or anyone else's. Providers process them to return the feature you asked for and are contractually barred from training on them.

Google Calendar and Google Contacts data are never sent to AI processing providers and are never used for AI processing of any kind.

Vylo can connect to an AI assistant such as Claude or ChatGPT, so you can ask about your own meetings there. Nothing is connected unless you set it up yourself, and nothing is sent until you ask the assistant a question.

When you do, Vylo sends that assistant only what your question needs: the calls, summaries, action items or transcript text you asked about, and only from your own account. The connection is read-only. The assistant cannot change, delete or create anything in Vylo.

One thing we want to be exact about, because the rest of this page is. Once your content reaches Claude or ChatGPT it is held under that company's privacy terms, not ours, including whatever their settings say about training on what you send them. Our commitment that your recordings are never used to train AI models covers the providers Vylo chooses. It cannot cover an assistant you connect yourself, and we will not claim otherwise.

You can disconnect Vylo from the assistant at any time, in that assistant's own connector settings. After that it can read nothing.

Before AI processing begins, Vylo clearly informs you when your recordings will be processed using AI services.

By choosing to generate transcripts, summaries, or other AI-powered outputs, you consent to the secure processing of your recordings for that purpose.

You may stop using AI features at any time, although certain functionality may no longer be available.

If you record conversations involving other people, you are responsible for complying with applicable laws regarding notice and consent.

Depending on where you are located, you may need to inform participants that the conversation is being recorded.

Vylo provides recording tools but does not determine or control the circumstances under which recordings are made.

Your recordings and AI-generated content are private by default.

Only you can access them unless you choose to:

• Share recordings
• Share transcripts
• Invite collaborators
• Generate shareable links

Vylo staff cannot access your recordings or transcripts, not even to resolve a support request. This is a technical control, not only a policy: support works without sight of your conversations.

One limit we state plainly rather than hide. If we are compelled by valid legal process, we comply to the extent we are technically able. Where your recordings are encrypted such that we cannot read them, we cannot produce their contents to anyone, including a court.

We may share information only with:

• Cloud hosting providers
• AI processing providers
• Authentication providers
• Payment processors
• Customer support platforms
• Government authorities when legally required

We never sell your information to advertisers or data brokers.

Google Calendar and Google Contacts data are not shared with AI processing providers, advertisers, or data brokers, and are never sold.

You remain the owner of:

• Audio recordings
• Transcripts
• Meeting summaries
• Notes
• Action items
• AI-generated content

You may export or delete your data at any time.

We retain your information only for as long as necessary to provide the Services, comply with legal obligations, resolve disputes, and enforce our agreements.

You may delete recordings, transcripts, summaries, or your entire account at any time. Following deletion, your information will be removed from our active systems within a reasonable period, subject to backup retention and legal requirements.

Vylo does not retain your Google Calendar data. Event details are read only when needed to identify scheduled events and start recording, and none of it is kept after you disconnect Google Calendar. You can disconnect at any time from the Vylo app or by removing Vylo’s access in your Google Account permissions.

Vylo reads your Google Contacts only while a people suggestion list is open, and does not store your contact list. The one exception is a person you explicitly choose to add: when you tap a suggested contact to add them to a recording or an action item, that person’s name and email address are saved to your Vylo account so they can be attached to your records. Contacts you do not select are never saved. You can disconnect Google Contacts at any time from the Vylo app or in your Google Account permissions.

Depending on the features you use, Vylo may request the following permissions:

• Microphone – To record meetings and conversations.
• Bluetooth – To connect with compatible Vylo recording devices.
• Files & Media – To import audio files and export recordings.
• Notifications – To notify you when recordings are uploaded or AI processing is complete.
• Network Access – To securely synchronize recordings and AI-generated content.
• Google Calendar (optional, read-only) – To identify your scheduled events and start recording for them. Vylo cannot change your calendar.
• Google Contacts (optional, read-only) – To suggest people by name and email when you add someone to a recording or an action item. Vylo cannot change your contacts.
• Location (where required by Android for Bluetooth scanning) – Used only to enable Bluetooth functionality and not to determine or track your location.

You can manage these permissions at any time through your device settings.

We use industry-standard safeguards to protect your information, including:

• Encryption in transit
• Encryption at rest where applicable
• Secure authentication
• Access controls
• Continuous monitoring
• Secure cloud infrastructure

Although no system is completely secure, we continuously improve our security practices to protect your data.

Vylo is intended only for users who meet the minimum legal age required to use the Services.

We do not knowingly collect personal information from children.

We may update this Privacy Policy from time to time.

If significant changes are made, we will notify you through the app or by other appropriate means before the changes take effect.
